Job Description

Background and objectives of assignment

SNV Vietnam seeks an individual consultant or consulting firm to support two teams through a short-term facilitated process aimed at enhancing interpersonal collaboration, shared norms, and effective team practices.

Objective 1: Strengthen the collaboration and working dynamics of the SNV Country Management Team (CMT) through structured work sessions, team assessments, and a retreat-style bonding activity. Individual coaching of some members may be added later as an annex to the assignment.

The SNV Vietnam Country Management Team (CMT) consists of 6 members, all females. Country Director, 2 Sector Leaders (like Directors of Program), Country Finance Manager, Head of Operations, and Human Resources Manager. The nationality composition of the group is an even mix of foreign nationals and Vietnamese nationals. All are based in SNV’s Hanoi office.

Objective 2: Establish foundational team norms and collaborative communication practices for a newly formed project implementation team to foster staff retention and workplace harmony.

This particular project team consists of 8 female national members. More than half are new to the team and to SNV. All are based in the Hanoi office.

Assignment overview and scope of work / deliverables

The Consultant shall:

Deliverable 1:

  • Conduct initial scoping with SNV leads to align on expectations and sensitivities
  • Provide an assessment tool (e.g., DISC, StrengthsFinder) and facilitate feedback sessions
  • Deliver 2–3 structured sessions and a half-day low cost retreat for the CMT (logistics organised and paid by SNV directly)

Deliverable 2:

  • Deliver 2–3 interactive workshops for the project implementation team
  • Facilitate the co-creation of team norms and working agreements for the project team

Written Outputs:

  • Draft short summary notes and/or action documents following each assignment track
  • Provide a brief concluding report for each assignment with recommendations for future follow up work of a similar nature

In Stage 2 of the tender process, consultants will be asked to propose a more detailed design for the above activities. Consultants may go outside of the above proposed outline if they choose, and have reasonable justification to do so. Proposals will need to list activities and deliverables for the assignments.

Estimated level of effort is approximately up to 8 days for Objective 1; up to 4 days for Objective 2, and 1 day for final reporting. Total estimated LoE is up to 13 days. Consultants are advised to submit proposals within this LoE estimation. However, optional annexes for ideas of additional LoE can be included, but will not be assessed as part of the tender process.

This tender process will take place in two stages. Stage one is an Expression of Interest. Those selected from the Expression of Interest stage will move forward to the Proposal Stage and receive a second assignment description ahead of being asked to prepare a more detailed proposal submission for the assignment.

Expression of Interest (EOI) Evaluation Criteria: 

Due Diligence: (Pass/Fail)

Academic background / qualifications of the expert: Max. 40 points

Relevant experience in training, capacity development, teambuilding, conflict resolution workplace culture and/or related fields: Max. 40 points.

Demonstrated experience providing consultancy services for international NGOs (INGOs), preferably within Asia: Max. 10 points.

Ability to easily engage with Hanoi-based teams: Max. 10 points

Total: 100 points

Timeframe and duration of the contract

Assignment would ideally start in mid- to late- September for preparations and activities would ideally begin later in September.  Duration is estimated at 10-13 days over the course of 2-3 months.

Eligibility and Qualifications

Both individual consultants and consulting firms or organizations are eligible to apply for this assignment.

For application as the individual consultant

  • University degree in the fields of Organizational Psychology, Human Resource Management, Education/Training, Business Administration (HR/Organizational Behavior), Social Sciences, or Communication/Conflict Resolution.
  • Having at least 5-7 years’ experience in training, capacity development, teambuilding, conflict resolution, workplace culture and/or related fields
  • Proven experience providing consultancy services to international NGOs (INGOs), preferably in Asia; experience in Vietnam is highly desirable.
  • Certification in the proposed teambuilding assessment (i.e. DISC, StrengthsFinder, other)
  • Excellent command of English, both written and spoken.
  • Based in or near Hanoi, or with a clear and feasible plan to engage with the team in person as needed.

For application as the consulting firm

  • Legally registered entity in accordance with applicable laws.
  • Minimum of 5–7 years of relevant experience with a proven track record in delivering services aligned with the scope and objectives of this assignment.
  • Demonstrated experience in coaching, teambuilding, or related activities involving both Vietnamese and international senior managers; experience working with women in leadership is an asset.
  • Proven delivering consultancy services to international NGOs (INGOs), preferably within Asia.
  • Certification in the proposed teambuilding assessment (i.e. DISC, StrengthsFinder, other)
  • Proposed team members possess strong English proficiency, both written and spoken.
  • Location of the consultant(s) includes proximity to Hanoi or reasonable plan to engage with the team.

Timeframe and duration of the contract

  • Assignment would ideally start in mid-  to late- September for preparations and activities would ideally begin later in September. Duration is estimated at 10-13 days over the course of 2-3 months.

Selection Process

SNV will review all Expressions of Interest received in accordance with the guidelines and criteria in this solicitation. SNV reserves the right to exclude any EOIs that do not meet the guidelines. Please note that SNV is unable to provide detailed feedback to those EOIs that are not selected.

Step 1: SNV will shortlist selected EOIs, and unsuccessful respondents will be notified. Successful applicants will be contacted by SNV.

Step 2: SNV will release Requests for Proposals (RFPs) for the specific activities and contract with the selected consultants.

Data protection  

The review and scoring are closed processes and are not open to the public. The data received shall be validated by SNV through remote and/or physical checks and processed following SNV’s General Data Protection Regulation (GDPR) framework (which complies with the European Union’s GDPR 2018), the electronic data you provide will be kept secure and will only be processed by SNV for procurement and project execution purposes. The data will be kept for 7 years, after which they will be destroyed by SNV. By submitting your proposal and participating in the SNV process, you agree with this data use, storage, and processing of the data provided. 

Issuance of this EOI does not constitute a commitment, award, or engagement on the part of SNV nor does it commit SNV to any future commitment or engagement.
