Context and purpose of the job

The project assistant supports the National Horti-Life team in the field of project admin, logistics and operations. The position is meant to assist the team in procurement requests, making follow ups to ensure requests are processed, logistical requests and arrangements using Odoo and provide logistical support to national Horti-LIFE events.

Job Description

Project Admin support

  • In collaboration with SNV Horti-LIFE project staffs prepare necessary requests for procurement, vehicle requests and other related service for all required inputs via Odoo system.
  • Ensure that flight bookings are processed and booked for Horti-LIFE staff members
  • Assist to ensure that the finance department receives all the necessary documentation to process payments
  • Assist in the logistics/preparation for Horti-LIFE national organised events
  • Perform any other duties assigned by the project Manager or Deputy Project Manager.

Issue handling

  • Answers questions with regards to one or multiple operational services,
  • within set guidelines and procedures. Ensures issues are escalated in a
  • timely manner through the right channel when necessary, to ensure full operational support.

Data handling

  • Ensures data filing and administration on a specific operation support
  • service. Processes, organises, checks and (if applicable) analyses data
  • by applying routine working methods. Signals abnormalities, monitors
  • and reports on overall provision of services, to ensure consistency in
  • delivery against service standards.

Qualifications

  • BA degree in business management and administration, management, or related fields.
  • One (1) to two (2) years of experience in general program administration, operations and management.

Required Skill:

  • Excellent communication skills both verbal and written.
  • Knowledge of and experience in organizational effectiveness and administrative/operations implementing best practices.
  • Excellent interpersonal skills and a collaborative style.
  • A demonstrated commitment to high professional ethical standards. 
  • Excellent computer skills and proficiency in excel, word, outlook, and access.
  • Prioritize workload according to the changing needs of the project.
