We are currently looking for Support Officer, Full-time, based in Jakarta to support the operation of SNV in Indonesia.
Job Description
Supports SNV employees on facility matters, making sure the office environment is an optimal workplace for the employees
- Assist in maintenance services for office and inventory, based on maintenance procedures and based on work instructions of the supervisor, and identify when external maintenance services are needed
- Book and record bookings for meeting rooms, (support in) set up of meeting rooms and office functions and move furniture in the office, based on directions of users and guidelines on usage of equipment.
- Record and maintain list of office inventory mainly for Jakarta, and coordinating for field offices.
Supports SNV-employees and visitors in office support
- Welcome visitors and guests, provide coffee/tea, photocopy, bind and archive of documents, carry out elementary administrative tasks (register of receipts, invoices and log keeping) based on work instructions
- Answer and put through incoming calls, handle and register incoming mails and faxes, connect outgoing calls and send faxes when needed
Supports SNV employees and visitors by receiving and answering office related questions based on work instruction.
- Purchase, record and distribute stock as required, ensure adequate supply of stationery (paper, letterhead, envelope etc.) and supplies (coffee, tea, cleaning product etc.)
- Take care of all incoming and outgoing mail and collect deliveries (pick up and deliver mail/document), based on work instructions
- Petty cash payment
- Execute activities to support others based on request, like assist in insurance claim, insurance purchase and payment, scanning and filing and extension of vehicle tax
Support operation services/ HR administration to ensure service continuity
- Organize employee insurance claim
- Organize medical check-up
- Assist with administrative reporting based on guidance/ instruction from Operation Manager
Qualifications
- Diploma-3 degree
- Minimum of 3 years’ relevant professional experience in office administration, preferably in similar organization as SNV.
- Strong interpersonal skills
- Self-motivated and organized
- Responsible, honest, and diligent.
- Native Bahasa Indonesia speaker with a good command of spoken and written English
- Good computer skills (Ms. Word, Ms. Excel, Ms. Power Point, Internet and Outlook) is an added value
Additional Information
Contract Duration: 1 year with possible extension
Desired start date: November 2026
